Key Responsibilities:

  1. Administrative Support:
    • Manage the executive's calendar, schedule appointments, and organize meetings.
    • Prepare and edit correspondence, reports, presentations, and other documents.
    • Handle incoming calls, emails, and communications on behalf of the executive.
  2. Event and Meeting Coordination:
    • Arrange and coordinate meetings, conferences, and events.
    • Take meeting minutes and follow up on action items.
    • Book venues, manage logistics, and ensure all materials are prepared in advance.
  3. Travel Management:
    • Arrange domestic and international travel, including flights, accommodation, and transportation.
    • Prepare detailed itineraries and ensure all travel-related documents are in order.
  4. Project and Task Management:
    • Assist with project coordination, ensuring deadlines and deliverables are met.
    • Conduct research and compile data to support decision-making.
    • Track and prioritize tasks assigned by the executive.
  5. Confidentiality and Discretion:
    • Handle sensitive and confidential information with utmost professionalism.
    • Maintain the executive's privacy and protect organizational information.
  6. Liaison Role:
    • Act as a point of contact between the executive and internal or external stakeholders.
    • Build and maintain positive relationships with clients, staff, and business partners.
  7. Office Management Support:
    • Oversee office supplies and equipment related to the executive’s needs.
    • Ensure the executive's workspace is organized and functional.
  8. Problem Solving:
    • Anticipate the executive’s needs and proactively address potential issues.
    • Troubleshoot challenges related to schedules, meetings, or travel arrangements.

Qualifications and Skills:

  1. Education:
    • Bachelor’s degree in Business Administration, Management, or a related field (preferred).
    • Relevant certifications in office management or administrative support are a plus.
  2. Experience:
    • Proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.
  3. Technical Skills:
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Familiarity with scheduling tools and project management software.
  4. Soft Skills:
    • Exceptional organizational and time-management abilities.
    • Strong communication skills, both verbal and written.
    • Discretion, reliability, and attention to detail.
    • Ability to multitask and prioritize tasks effectively.
  5. Personal Attributes:
    • Professional demeanor and ability to work under pressure.
    • Proactive and resourceful with a problem-solving mindset.
    • Flexible and adaptable to changing priorities.

Work Environment:

  • Primarily office-based with occasional travel or off-site work depending on the executive's schedule.
  • May require working outside standard hours to meet the executive’s needs.
