Job Overview

The Stores & Records Officer is responsible for managing inventory, maintaining accurate records of stock movement, and ensuring proper documentation of goods received and issued. This role supports operational efficiency by safeguarding assets and ensuring transparency in stock control.

 Key Responsibilities:

  • Inventory Management
    • Receive, inspect, and record incoming goods and materials
    • Issue items based on approved requisitions and maintain stock levels
    • Conduct regular stock counts and reconcile discrepancies
  • Record Keeping
    • Maintain up-to-date records of all stock transactions
    • Prepare inventory reports and submit to management periodically
    • Ensure proper filing and documentation of delivery notes, invoices, and requisitions
  • Store Operations
    • Organize and label items for easy identification and retrieval
    • Monitor storage conditions to prevent damage or spoilage
    • Enforce safety and security procedures within the store
  • Coordination & Compliance
    • Liaise with procurement, finance, and user departments for stock-related issues
    • Ensure compliance with internal controls and audit requirements
    • Support audits and stock verification exercises

Qualifications:

* Bachelor's degree - Procurement, Logistics etc.
* Knowledge of digital archiving and file management practices.
* At least 3 years' post-degree experience
